Overview

RES is looking for a Senior Administrative Assistant/Project Administrator to provide broad administrative support to a team of scientists, project managers, and executives in our Fort Lauderdale, FL office. We are seeking candidates who will execute and will own the internal office experience and take it to a new level.

What your day-to-day might look like?

  • Maintain general office efficiency and productivity by ensuring appropriate resources and processes are in place to support staff.
  • Serving as primary point of contact for staff and vendors on facility needs. This may include general maintenance and repairs, security and safety, furniture and equipment, space planning and renovations.
  • Submit and reconcile expense reports.
  • Order supplies – drinks, office supplies etc.
  • Assist with Fleet Management.
  • Assist and maintain business licenses (City, County and State).
  • Manage all incoming and outgoing packages, visitors, lunch orders etc.
  • Booking and coordinate travel arrangements such as flight schedule, hotel accommodations, and transportation for the team as needed.
  • Booking meetings, seminars and conferences, as well as catering arrangements as needed.
  • Filing documents, invoices, contracts, and other important company documents.
  • Coordinate various office support services.
  • Sorts and distributes mail to recipient.
  • On occasion handle special administrative projects.
  • Assist staff with data entry and internet research tasks.
  • Assist staff with proofreading, formatting and production of large document submittals that are generated by staff.

Qualifications

  • 5 or more years of administrative support experience in an office setting
  • Ability to take initiative in an environment of change and growth
  • Flexibility with regards to job responsibilities
  • Experience serving clients in a fast-paced operating environment
  • Strong written, verbal and visual communication skills and keen attention to detail
  • A natural collaborator who values feedback and quickly adapts to change
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Adobe Acrobat
  • Organized with keen attention to detail
  • Clear, efficient written and verbal communication skills
  • Willingness and ability to learn unique and detailed aspects of the company’s business and incorporate them into work product
  • Ability to handle multiple tasks and prioritize as necessary
